Role Purpose / Summary:

The Office and Facilities Coordinator will need good organisational and time management skills to complete all administrative tasks.

The Office and Facilities Coordinator will be the first person visitors see, so it is important to remain friendly and supportive when greeting them. It is also important to work well in a team and understand the needs of others to support colleagues and projects the Company is working on.

The Office and Facilities Coordinator must work closely with the HR Team and must establish good coordination with the Supply Chain Department, which is mandatory for this role.

The Office and Facilities Coordinator acts as the Company’s main support system and is vital in the everyday operations of the Company, to ensure everything runs smoothly.

 

Key Responsibilities:

  • Greet all visitors when they arrive at the office and help connect them to the person they came to meet
  • Arrange meeting rooms for visitors including organisation of food and beverages
  • Organise food and supplies for the office (lunch, coffee, tea etc.)
  • Monitor inventory and create PRs via SAP to order supplies
  • Submit work orders for repairs for the general office space through Company ERP System (Call-0ff orders)
  • Arrange hotel bookings for Employees/Visitors
  • Complete goods receipt for all materials received
  • Oversight and responsibility for contracted personnel of various support services such as Janitorial services for the office and Guest House.
  • Schedule equipment repairs with vendors
  • Create an effective filing system for record-keeping
  • Manage incoming and outgoing mail and packages
  • Support colleagues and complete various administrative tasks
  • Work with building management to maintain the employee access system, and manage the issuance tracking of security access tags and ID Cards for visitors and employees as applicable
  • Responsible for general housekeeping of the Conference rooms, lobby, kitchen, etc.
  • Maintain company assets where applicable (e.g. Guest houses and Company Cars), including maintaining the tracking records for usage.
  • Provide clerical or administrative assistance on special projects, as needed
  • Responsible for planning and organising the Company events
  • Any other related duties as assigned

Required Qualifications:

  • HBO Level
  • Friendly and positive attitude

  • Able to multitask in a fast-paced environment
  • Great attention to detail
  • Proficient in MS Office (Word, Outlook, Excel, PowerPoint)

  • Ability to work independently
  • Dutch and English mandatory
  • Valid Driving licence
  • Good written and verbal communication skills
  • Familiar with the various Manual Handling techniques and use them to prevent injuries
